Upload SUN Bucks Eligibility Records in EDCS (April 30, 2026)
LEAs that collect and certify UBAs should ensure that all UBA (and eligible) records that are no longer subject to verification are uploaded to the EDCS by April 30, 2026, at 5:00 p.m.
SchoolWise SUN Bucks Extract Information
There are 3 extracts in SchoolWise for SUN Bucks, based on how your LEA wants to keep track of student SUN Bucks eligibility.

1. The first extract named: Data Export will use the SUN Bucks checkbox located on the Student - Accounting page, as seen here: 
2. The Data Template is just a blank Excel file that you can fill in manually if you so choose.
3. The NSLP Data Export is for those schools that want to use the existing meal verification in SchoolWise.

CARS - Consolidated Application and Reporting System (Best completed by: May 5, 2026)
CARS certification must be done early. Certified status for each school under the LEA will affect the CALPADS expected schools table regarding which schools are and are not required to submit Title I Targeted program data.
Below are recommended steps in ensuring CARS and EOY2 certification are accomplished without any delays.
- Run Report 5.1 certified from EOY 2 2024-25 through CALPADS Certification page for 2024-25.
- Determine who is responsible for Title I funding/ CARS in your LEA. (Often the CBO) Work with your CARS person to verify each school’s current designation.
- CARS person must accurately certify CARS flagging each school as either Schoolwide or not
- Report Program 122 records of eligible students of Title I Part A Targeted schools in CALPADS. Schoolwide schools automatically count all enrolled students, and so do not require any SPRG records.
- Run Snapshot 5.1 for EOY 1 2025-26.
- Confirm counts for Targeted and Schoolwide schools.

RFEP Status Update in CALPADS (Reporting Guidance)

English Learners (EL) who meet reclassification criteria should be reclassified and their new Reclassified Fluent English Proficient (RFEP) statuses uploaded to CALPADS by May 15, 2026, to ensure they are in the Test Operations Management System (TOMS) by May 31, 2026. This is important because LEAs’ “participation rate” (rate of ELs taking summative ELPAC) impacts their English Learner Progress Indicator (ELPI) on the California School Dashboard, and the participation rate is based on statuses (e.g., RFEP) in TOMS, which are sent nightly from CALPADS to TOMS - RFEP Students do not have to be assessed and therefore are not included in the participation rate
- EL students must be assessed by May 31; if they are not tested, the LEAs’ participation rate is negatively impacted
- After May 31, 2026, 2024-25 Summative English Language Proficiency Assessments for California (ELPAC) and Summative Alternate ELPAC scores can no longer be used for reclassification purposes in 2025-26
- RFEP Status must be uploaded to CALPADS by May 15, 2026 to ensure they are in the Test Operations Management System (TOMS) by May 31, 2026
- All EL students who have not been reclassified by May 15, 2026, should be assessed with the Summative ELPAC or Summative Alternate ELPAC by May 31, 2026; this is to ensure that all eligible EL students are annually tested as required by law
Reclassification for any Summer RFEPS
- Students should be reclassified when they meet all four criteria for reclassification, and the English Language Acquisition Start Date should reflect that.
- Students reclassified after the last day of school who WILL NOT be returning should have RFEP date = last day of school.
- Students reclassified after the last day of school who WILL be returning should have RFEP date = enrollment date for next school year.

EOY 1 (Former EOY 2,3 & 4) CALPADS Data Submission Highlights (July 31, 2026 (SELPA Approval is required))
Recommended Date for Zero Errors (June 26, 2026)
EOY submissions rely on the foundational data from Fall 1 and throughout the year, meaning student information must be current in the Operational Data Store (ODS) to avoid errors. Student Enrollment (SENR), Student Information (SINF), Student Program (SPRG), and Student English Language Acquisition (SELA) files must be updated and posted to reflect all changes made during the year before submitting EOY files.
Rollover Requirement: For the new EOY 1 submission, the academic year rollover must be completed in SchoolWise before the E155 extract (used for Student Absence Summary/Cumulative Enrollment) can be submitted and certified.

- Files should be sent one at a time and posted to CALPADS in the correct sequence to ensure data integrity.
- Error Checking: RUN all SchoolWise Information Check forms: Student Information Check Forms, Student Program Check Forms, and Suspension/Attendance reports before submitting EOY data.
- Program Eligibility/Participation (SPRG & LEAP) LEAs must submit both the Student Program (SPRG) and the Local Education Agency Program (LEAP) files. LEAP reporting is new for EOY 1.
- Student Incidents (SINC, SIRS, SOFF) Incident data, including Student Incident (SINC), Student Incident Result (SIRS), Student Offense (SOFF), and Student Absence Summary (STAS) files, must be submitted sequentially.

- Count of English Learners (EL) Reclassified during School Year (SELA)
- Homeless Students (SPRG) must be reported and closed annually to avoid errors.
- Special Education (SIRAS/SEIS data sync to CALPADS) Special Education: Files such as Student with Disabilities Eligibility (SWDS), Special Education Plan (PLAN), Meeting (MEET), Services (SERV), and Postsecondary Status (PSTS) must be submitted in order. Most come from the Special Education System via API.

Recommended Date for Zero Errors (August 3, 2026)
- Focuses on course completions, CTE participants/completers, work-based learning, and graduate/completer data.
- Includes Staff Demographics, Course Section Completion (CRSC), Student Course Completion (SCSC), Student Career Technical Education (SCTE), Work-Based Learning (WBLR), and Student Enrollment (SENR) files.
- Courses reported must be departmentalized classes from grades 7–12, including CTE courses and college courses.
- Self-contained classes are excluded.
