Free/Reduced program records can be imported into SchoolWise by using 'Import Meal Status Direct Certify from CALPADS' located in the Meals category of the Desktop Report Explorer.
By using the import you understand and agree with the logic performed on your meal program records.
Please refer to the following logic before importing records into SchoolWise:
1. If Program record doesn't exist (Student is currently Paid):
1) New program record added for Free or Reduced Status with File Date, Verify Type and Direct Cert Reason from File. If File Date is less than student school enrollment/calendar start date, use the latest date.
2. If Program Status is Reduced and File Status is Free and
a. Program Date is BEFORE File Date:
ex. Program - 'Reduced' - 08/14/2020 - 'Not Verified'
File - 'Free' - 09/24/2020 - 'Direct Cert'
i. If Program and File Date is greater than or equal student school enrollment/calendar start date, then:
1) Program record is closed 1 day prior to the File Date
2) New program added for 'Free' with the new Verify Type and Reason from File.
ii. If Program Date is less than to student school enrollment/calendar start date,
and File Date is greater than student school enrollment/calendar start date, then:
1) Program start date is updated to school enrollment/calendar start date,
2) Program record is closed 1 day prior to the File Date
3) New program added for 'Free' with the new Verify Type and Reason from File.
iii. If Program and File Date is less than or equal to student school enrollment/calendar start date, then:
1) Program record updated with school enrollment/calendar start date, status set to 'Free' with Verify Type and Reason from File.
b. Program Date is AFTER File Date:
ex. Program - 'Reduced' - 08/14/2020 - 'Not Verified'
File - 'Free' - 07/18/2020 - 'Direct Cert'
1) Update program Status with 'Free' and replace Date from File. If File Date is less than student school enrollment/calendar start date, use the latest date.
3. If Program and File Date are the same and Status of one is Free and other is Reduced:
ex. Program - 'Free' - 08/14/2020 - 'Not Verified'
File - 'Reduced' - 08/14/2020 - 'Direct Cert'
1) Update program Status with 'Free' and update Verify Type and Direct Cert Reason from File. If Program/File Date is less than student school enrollment/calendar start date, use the latest date.
4. If Program and File Status are the same and Verify Type is different and
a. Program and File Date the same:
ex. Program - 'Free' - 08/14/2020 - 'Not Verified'
File - 'Free' - 08/14/2020 - 'Direct Cert'
1) Update program record with Verify Type and Direct Cert Reason from File. If Program/File Date is less than student school enrollment/calendar start date, use the latest date.
b. Program Date is BEFORE File Date:
ex. Program - 'Free' - 08/14/2020 - 'Not Verified'
File - 'Free' - 09/24/2020 - 'Direct Cert'
i. If Program/File Date is greater than or equal student school enrollment/calendar start date, then
1) Program record is closed 1 day prior to the File Date
2) New program added with the new Verify Type and Reason from File.
ii. If Program Date is less than to student school enrollment/calendar start date,
and File Date is greater than or equal to student school enrollment/calendar start date, then
1) Program start date is updated to school enrollment or calendar start date,
2) Program record is closed 1 day prior to the File Date
3) New program added with the new Verify Type and Reason from File.
iii. If Program/File Date is less than to student school enrollment/calendar start date, then:
1) Program record updated with school enrollment /calendar start date, Verify Type and Reason from File.
c. Program Date is AFTER File Date:
ex. Program - 'Free' - 08/14/2020 - 'Not Verified'
File - 'Free' - 07/18/2020 - 'Direct Cert'
1) Update program date, Verify type and Direct Cert Reason from File. If File Date is less than student school enrollment/calendar start date, use the latest date.
